We Handle The Paperwork

Insurance paperwork can be complicated — denials, documentation requirements, and follow-ups are common.

Our team manages:

You’re never navigating the process alone.

What Do I Qualify For?

Power Wheelchairs are categorized into Group 2 and Group 3 codes. The grouping is based on your diagnosis, mobility limitations, and ability to independently perform functional weight shifts.

Our Assistive Technology Professional (ATP) and your Occupational/Physical Therapist will determine the appropriate device during your clinical assessment.

The main difference between a Group 2 and a Group 3 are the Power Features. Group 3’s have Power Features that allow the chair to Tilt, Recline, Elevate Legs, and Elevate.

Group 2

These chairs are designed to provide basic support for Mobility Related Activities of Daily Living (MRADLs). They are appropriate for individuals:

  • Who cannot use a manual wheelchair
  • Do not need complex rehab seating systems

  • Diagnosis include: COPD, CHF, Diabetes, OA, Chronic Pain, Fall Risk

Group 3

These chairs are designed for more complex medical needs such as assistance with pressure management. They are appropriate for individuals:

  • Who cannot independently perform a weight shift
  • Require advanced power positioning features

  • Diagnosis include: neurological conditions, spinal cord injuries, or congenital deformities

The Process to Get Approved

Here’s how we guide you from start to finish:

Your clinician will fax your documents to 415-508-1083, or you can Contact Us at 415-508-1153. From there, our Intake team will verify your insurance and determine if you are eligible for a Power Wheelchair.

Once the documentation is received, an Assistive Technology Professional (ATP) will reach out to schedule an in-home evaluation. The ATP will take measurements of you and your home to determine which custom configuration best suits your needs.

After the evaluation takes place our administrative team will assemble a packet of documents that need a final signature from your physician. Each insurance is different, feel free to examine the required documentation for each insurance provider.

Once we have all the required documentation, our team will submit a request to your insurance provider. The processing time for each insurance varies, but the average wait time is between 2-5 weeks.

Your insurance will notify us if the request for the Power Wheelchair is approved or denied. If it is approved, an administrator will reach out to you to confirm you still want the Power Wheelchair and the best address for delivery.

Your power wheelchair will be custom configured by the manufacturer — receiving the wheelchair typically takes 1-3 weeks. As soon as the chair arrives, we will contact you to schedule an in-home delivery.

At delivery, our Wheelchair Technician will make minor adjustments to the chair so that all of the components conform to your positioning. They will walk you through the proper and safe use of the equipment, and answer any questions you may have.

If anything happens to your wheelchair, please call in to our office to schedule a Repair Assessment. One of our experienced Wheelchair Technicians will come to your home to evaluate the problem — in some cases a Loaner Chair is available.
